Important Note: When adding a new user to our system, please ensure that the phone number you input is unique. Our system uses the phone number as a unique identifier for each user, and it will not accept a number that's already registered. This step is crucial to ensure each user has a distinct and secure login.
Navigate to Classes: From the dashboard, use the navigation panel to find and select the "Classes" option. This will take you to the Classes module, where you can view, edit, or add new classes to your centre.
Review Existing Classes: Initially, the system might automatically generate a set of classes based on common presets. Review these classes to ensure they align with your curriculum and educational offerings.
Add New Class: If you need to add a new class, look for the "Add Class" button. Provide the name of the class (e.g., Playgroup, Nursery, Jr KG, Sr KG) and any relevant details as prompted. Save your changes to finalize the addition.
Access Divisions: Within the Classes module, locate the "Divisions" section. This area allows you to create subdivisions within each class to manage students more effectively.
Examine Existing Divisions: The system may auto-generate divisions for each class. Assess these divisions to ensure they meet your needs. If your centre doesn't require divisions due to smaller class sizes, consider establishing at least one division (e.g., Division A) for organizational purposes.
Add Division: To add a division, click on "Add Division" and select the class you're creating the division for. Assign a name to the division (e.g., A, B, C) and save your changes.
Find Batches Module: Batches are crucial for organizing students by academic year and class/division. From the navigation panel, select the "Batches" option to view the Batches module.
Review and Adjust Batches: Look over any pre-existing batches to ensure they accurately represent your academic year's start and end dates, as well as the correct class and division groupings.
Create New Batch: When creating a new batch, click on "Add Batch." You'll need to specify the academic year, class, division, and the batch's start and end dates. Naming conventions are essential here for clarity (e.g., Nur-A-2023/24 for Nursery, Division A, for the academic year 2023-2024).
Consistency is Key: Maintain consistent naming conventions for classes, divisions, and batches to avoid confusion and ensure ease of management.
Check Details Thoroughly: Accurate setup of classes, divisions, and batches is crucial for the smooth operation of your centre. Double-check all details before finalizing.
Use TMP Divisions Wisely: Temporary (TMP) divisions are useful for initially placing students before finalizing their division assignments. Remember to transfer students from TMP divisions to their permanent divisions as soon as possible.
Plan for the Academic Year: When setting up batches, consider the entire academic calendar, including any mid-year promotions or class transitions.
By carefully configuring your centre's classes, divisions, and batches in the BBKids Admin Panel, you lay a strong foundation for efficient management of your educational offerings. This organization facilitates smoother operations, from admissions and scheduling to communications and reporting, ensuring your focus remains on delivering quality early childhood education.
